1. What we collect

Account details (name, email, phone where provided), the content of your requests and messages, the proposals and approvals recorded on your account, consent records, and payment metadata such as amount, currency, status and reference.

We do not store your full card details. Card data is handled by our payment provider.

2. Why we use it

To scope, price and carry out your requests; to communicate with you; to record what you approved and when; to process service fees; to prevent abuse and fraud; and to meet legal and accounting obligations.

3. Automated assistance

ButlerTop uses AI assistance to help structure requests, draft clarifying questions and prepare proposals. Pricing is never set by the AI — fees come from ButlerTop's configured pricing. Sensitive, complex or high-value requests are reviewed by a human concierge.

4. Sharing with third parties

To carry out a request, we may share the minimum necessary details with the relevant providers (for example an operator, hotel or supplier). We share only what is reasonably needed and never sell your personal data.

We also use service providers for hosting, email delivery, AI processing and payments, who act on our instructions.

5. Retention

Request, consent and payment records are retained for as long as necessary to provide the service, resolve disputes and satisfy legal, tax and accounting requirements.

6. Security and separation

Access to your requests is restricted to your own account and to authorised ButlerTop personnel. Records are separated per account at the database level.

7. Your rights

You may request access to, correction of, or deletion of your personal data, and object to or restrict certain processing. Contact hello@butlertop.com and we will respond within a reasonable period.
